Pipedrive integration & automation

The deal-focused CRM: connect it once, and deals, contacts and follow-ups keep themselves in sync

Pipedrive is built around one view: the deal, moving through your pipeline stage by stage. We connect it to your other systems and to a calling app, so a deal record updates itself, notifies the right people, and can set off a next step on its own — instead of a manager chasing all of that by hand.

What we connect

  • Leads, deals, contacts (people and organizations) and activities stay in sync automatically — created or updated without anyone typing them in twice.
  • The moment something changes on a deal, lead or contact, Pipedrive can notify your other systems right away, instead of them having to keep checking back in.
  • Build-your-own automations: you pick an event — a deal is created, updated or moved — and an action fires automatically, no code needed. Available from the Growth plan up.
  • Pipedrive has no phone system of its own — we connect calling through a marketplace app such as CloudTalk, Aircall, Kixie, CallHippo, JustCall, Toky or Circleloop, so the call still lands on the client's card.
  • Projects and products can travel with the deal too, not just contacts — so a build task or a price list stays linked to the sale it belongs to.
  • For anything a ready-made connection doesn't cover, custom rules and data flows can be built on top through Pipedrive's open interface.

Automation scenarios

01

A deal moves to a new stage

Before a manager remembers to send a follow-up email after moving a deal forward.

After a no-code automation fires the follow-up the moment the deal changes stage — nobody has to remember.

02

A call needs to be made from Pipedrive

Before a manager dials from a separate phone app and writes down what happened afterwards.

After a connected calling app links the call straight to the deal, so the record shows up on the card on its own.

03

A lead is created in another system

Before someone copies the lead into Pipedrive by hand, often a day later.

After the lead appears in Pipedrive on its own, ready for a manager to pick up right away.

04

The team upgrades to unlock automations

Before on a Lite or Essential plan, the same repetitive steps get done by hand since Pipedrive's own automation builder isn't included.

After on Growth and up, those same steps run through Pipedrive's own no-code builder instead.

05

A project needs to travel with its deal

Before project details live in a separate tool, disconnected from the sales record that started it.

After Pipedrive syncs the project and its products right alongside the deal, so both stay linked.

How it works technically

For those who want to check: each point links to the official documentation page it comes from.

  • Pipedrive has an open REST API (v1 and v2) authorised either by an API token or by OAuth 2.0.

  • The key API objects are leads, deals, person/organization contacts, activities, projects and products.

  • Webhooks send real-time programmatic notifications about data changes, instead of the client having to keep polling the API.

  • The built-in automation builder is made of a trigger event (a deal, lead or contact is created, updated or deleted) plus an action event; it's available only on Growth and higher plans, not on Essential/Lite.

  • Pipedrive has no built-in calling (CTI) — calls connect only through marketplace apps such as CloudTalk, Aircall, Kixie PowerCall and SMS, CallHippo, JustCall, Toky and Circleloop.

  • The rate limit is a daily token budget — 30,000 base tokens × a plan multiplier × number of seats; once the budget is depleted, the API returns 429 (Too Many Requests) until the next day's reset.

Limits

The no-code automation builder is available only from the Growth plan up — Essential and Lite don't include it. The daily request budget also depends on the plan and the number of seats on the account: higher plans and more seats mean more headroom before the connection has to wait until the next day.

How to start

Three steps from a first message to work on your project.

  1. 01

    Leave a request

Describe the task in the form — in text or by voice. Budget and timing are optional.

  2. 02

    We review and estimate

A developer studies the brief, asks about anything unclear and sends an estimate.

  3. 03

    We start

Once scope and price are agreed, the work begins.

Questions

Does Pipedrive have its own phone system?
No — calls connect through a marketplace calling app such as CloudTalk or Aircall, but the call still lands on the client's card either way.
Can we build our own automation rules without a developer?
Yes — pick an event and an action fires automatically, no code needed. This is only available from the Growth plan up, not on Essential or Lite.
How does Pipedrive tell other systems when something changes?
It pushes a notification the moment the data changes, instead of the other system having to keep asking whether anything is new.
What happens if we send too many requests in a day?
Every plan has its own daily budget; once it's used up, further requests are paused until the next day's reset.
