RingCentral integration & automation

Business calls, texts and video in one connected system — synced with what your team already uses

RingCentral is a US business phone and messaging system built for teams that need calls, texts and video in one place. We connect it to your CRM or support desk, and design the connection to pace itself against RingCentral's own request ceilings — so a busy day slows down gracefully instead of getting stuck.

What we connect

  • Different kinds of requests are grouped by how heavy they are on the system, so quick checks and heavier actions each get their own ceiling instead of sharing one queue.
  • If a connection sends too much in one group, RingCentral pauses just that group and states exactly how many seconds to wait before trying again, so the pause is built into the connection instead of guessed.
  • Groups are counted separately, so hitting the ceiling on one kind of request — quick lookups, say — doesn't stop heavier actions from still going through.
  • Which group a specific action belongs to is documented for every single one, so we know in advance which parts of a connection need the most breathing room before building it.
  • Signing in to connect an account works like a person logging in, but that sign-in step has the tightest ceiling of any group — so we build the connection to sign in once and hold the session, not repeat it.
  • Once connected, calls, texts and video events can notify your CRM or helpdesk automatically, instead of someone checking RingCentral separately.

Automation scenarios

01

A connection needs to check many records quickly

Before quick checks and heavier actions share one queue, risking an overload that stalls everything.

After light lookups and heavy actions are grouped separately, so one doesn't choke the other.

02

A busy day pushes past the request ceiling

Before the connection keeps retrying blindly and gets stuck longer as a result.

After RingCentral states exactly how many seconds to wait, and the connection pauses that long, not a moment more.

03

The account needs to sign in to connect

Before repeated sign-in attempts risk tripping the tightest ceiling of any group.

After the connection signs in once and holds that session, instead of reconnecting over and over.

04

A call or text happens

Before the CRM sits unaware until someone checks manually.

After RingCentral notifies the CRM the moment it happens, so the record updates itself.

How it works technically

For those who want to check: each point links to the official documentation page it comes from.

  • Every method of RingCentral's interface belongs to one of several request groups, so the platform can better distribute load and protect itself.

  • Default ceilings per group, per user per minute: Light 50, Medium 40, Heavy 10, and Auth (signing in) just 5 — each with its own 60-second penalty window.

  • Going over the ceiling returns a Too Many Requests error, and the exact number of seconds to wait before trying again is stated right in the response.

  • Sending more requests during that wait resets the clock, so an app that doesn't respect the wait can get stuck in a repeating loop of being blocked.

  • The groups are counted independently of each other — running out of allowance on light requests doesn't touch the remaining allowance on medium ones.

Limits

The default ceilings — for example, only 5 sign-in attempts a minute — are RingCentral's own starting point; the vendor states the actual numbers can be customized per app, so the real limit for a specific connection may be higher or lower.

How to start

Three steps from a first message to work on your project.

  1. 01

    Leave a request

Describe the task in the form — in text or by voice. Budget and timing are optional.

  2. 02

    We review and estimate

A developer studies the brief, asks about anything unclear and sends an estimate.

  3. 03

    We start

Once scope and price are agreed, the work begins.

Questions

Does one slow part of the connection block everything else?
No — light checks, medium actions and heavy actions are counted separately, so hitting a ceiling on one doesn't stop the others.
What happens if we go over the limit?
RingCentral pauses that part of the connection and states exactly how many seconds to wait — we build that wait into the connection instead of retrying blindly.
Are the published limits fixed for everyone?
No — RingCentral says the default numbers are a starting example and can be customized per app, so the real ceiling can differ.
How does RingCentral tell our CRM that a call happened?
It can notify the CRM or helpdesk the moment a call, text or video event happens, so the record updates on its own.
