KeepinCRM integration & automation

Leads, deals and tasks live in KeepinCRM? We connect it to everything else your business runs on

KeepinCRM is a Ukrainian CRM where a company keeps its clients, deals, tasks, price list, warehouse and finances. It already has ready connections for delivery and calls, but part of the work often stays manual: requests from a new website, data for accounting, reports for the owner, moving an old client base in. We connect KeepinCRM to the services you use so information moves between them on its own and managers stop copying it by hand.

What we connect

  • Requests from your website or another service arrive in KeepinCRM on their own and become a lead, a deal or a task.
  • When something changes in KeepinCRM, it can pass the news to another system itself, so the next step starts without a manager.
  • Clients, deals, tasks, products, stock and finance records can be read and updated from outside, so other tools see the same data as the CRM.
  • An existing client base moves in from a spreadsheet file, and repeat uploads don't create duplicates.
  • Data leaves KeepinCRM just as easily: any fields, including your own, can be exported for accounting or reports.
  • Nova Poshta and Binotel have ready connections: shipping labels are created inside a deal, and calls are made and taken right in the CRM.

Automation scenarios

01

A request comes in from the website

Before a manager copies the name and phone from an email into the CRM.

After the request itself becomes a lead or a deal in KeepinCRM the moment it is sent.

02

Moving over from spreadsheets

Before the client base lives in a spreadsheet and has to be typed in by hand.

After the file is prepared to KeepinCRM's template and loaded in one go, and a second upload updates records instead of doubling them.

03

A deal moves to the next stage

Before a manager messages the warehouse or accounting to let them know.

After KeepinCRM passes the change to the right service itself, and the next step starts on its own.

04

The owner wants a weekly report

Before someone exports data and builds the table by hand every week.

After deals, tasks and payments are pulled from KeepinCRM automatically into the report the owner already reads.

How it works technically

For those who want to check: each point links to the official documentation page it comes from.

  • API requests are authorised with a personal API key sent in the X-Auth-Token header.

  • The public REST API covers clients and leads, deals (orders), tasks, finances, price-list products, warehouse materials and stock, contractors, deliveries, branches, sources and employees.

  • An incoming webhook can create a counterparty (lead or client), a deal or a task from another service's data; outgoing webhooks are sent by triggers.

  • Clients are imported from an XLSX template; on a repeat import, matches are found by company name, contact person or phone numbers so duplicates aren't created.

  • The native Binotel integration lets managers take and make calls right inside KeepinCRM.

  • The native Nova Poshta integration creates shipping labels (TTN) right inside KeepinCRM.

Limits

The API allows up to 100 requests a minute per key. An account can have only one API key, and only the user who registered the account can create it. Access to the open interface depends on the KeepinCRM plan, so we check it with you before starting.

How to start

Three steps from a first message to work on your project.

  1. 01

    Leave a request

Describe the task in the form — in text or by voice. Budget and timing are optional.

  2. 02

    We review and estimate

A developer studies the brief, asks about anything unclear and sends an estimate.

  3. 03

    We start

Once scope and price are agreed, the work begins.

Questions

Can requests from our website go straight into KeepinCRM?
Yes. KeepinCRM accepts data from outside services and turns it into a lead, a deal or a task, so nobody has to copy requests by hand.
We keep clients in a spreadsheet. Can we move them into KeepinCRM?
Yes. KeepinCRM loads clients from a file made to its template, and on a repeat upload it looks for matches by company name, contact person or phone, so the base doesn't fill up with duplicates.
Can KeepinCRM tell another system when something changes?
Yes. KeepinCRM has built-in automation rules, and one of them sends data to an outside service, so the warehouse, accounting or a chat learns about the change without a manager.
What if the service we need has no ready connection in KeepinCRM?
We build the link through KeepinCRM's open interface: clients, deals, tasks, products and payments can be read and written from outside, so almost any service can be tied in.
